What does this hire really come down to?

The long lead procurement manager tracks owner supplied equipment from purchase order through factory tests, shipping and setting in place. At a build to suit developer, some equipment comes from the tenant and some from the developer, and mixing the two causes confusion.

The manager keeps one picture of what is ordered, what is late and what the contractor is waiting for. The tradeoff is sourcing strength against tracking discipline. A strong negotiator can reserve capacity and win terms. A strong tracker keeps each order moving and knows which site is waiting. With a small corporate team, one person must often do both. If you can only afford one hire, decide which weakness would cost more.

Handover to the contractor is another sore spot. Equipment that arrives before the site can receive it needs storage and protection. Equipment that arrives late stops the schedule. The manager should plan both with the general contractor. Consider also how the manager is paid for results. A reward for low price alone pushes them to ignore delivery risk. Pay attention to how they speak about suppliers. Managers who describe suppliers as partners with real constraints tend to get better dates. Those who speak only in terms of pressure may burn goodwill that a tight market makes valuable. Ask how much of the work is approval and how much is chasing. A role dominated by chasing burns people out, so consider an assistant.

What do we check before you see anyone?

Ask which equipment categories they tracked and how they recorded status. Ask how they scheduled factory witness tests and who attended. Ask how they handled a delivery that arrived before the site was ready. Ask how they split responsibility with the general contractor for receiving and protecting equipment.

  • Ask how they coordinate tenant supplied items with developer supplied items.
  • Ask which system or sheet they used and who else could read it.
  • Ask how they handle a factory test that fails and who decides whether the unit ships.
  • Ask how they build a delivery sequence with the contractor so equipment arrives in setting order.
  • Ask how they track change orders that affect equipment already purchased.
  • Ask what records they require from a factory test and who reviews them.
  • Ask how they report status to executives who want one number.

Where do we find these candidates?

These managers come from owner supply chain groups, general contractors, equipment manufacturers and logistics firms. Owner groups know tenant demands. Contractors know receiving and setting. Manufacturers know factory timing. Logistics people know transport and storage. They move when a program ends, when their employer centralizes buying or when they want a larger work.

  • They move when a program ends, when their employer centralizes buying or when they want a larger work. Some want to leave the pressure of a manufacturer's order book. Others want broader influence. Clear authority to commit and to talk directly to factories draws strong people. Some come from large retailers or manufacturers where logistics and tracking are daily work. Others come from industrial projects where equipment sets the schedule. Both ask about the volume of orders and what approvals they need.

Which hiring mistakes should you avoid?

  • Combining tenant supplied and developer supplied tracking in one confusing list.
  • Ignoring storage until equipment arrives.
  • Hiring a negotiator with no tracking skill for a small team that needs both.

Questions we settle before outreach

  1. Sort the equipment

We ask which items you buy, which the tenant supplies and which risk the schedule most.

  2. Decide the weaker side

We help you weigh sourcing strength against tracking discipline.

  3. Test the handoff

We ask candidates how they received equipment with a contractor and what went wrong.

Questions

Who should own receiving and storage?

Name one party in writing. Usually the contractor receives and the procurement manager schedules, and both sign off on condition.

How do we manage tenant supplied items?

Keep them on a separate list with their own owner. Candidates with tenant experience will ask who answers when a tenant item is late.

Should the manager travel to factories?

For major equipment, yes. State how often and who pays so the candidate can plan.

Do we need an expediter as well?

On several active sites, usually yes. One person cannot both negotiate and chase every order.

What if the candidate has only contractor experience?

They know receiving and setting, but may lack sourcing depth. Test their negotiation record before committing.

How should we handle a supplier that offers an early delivery?

Check whether the site can receive and protect it. Early equipment that sits in the weather costs more than late equipment.
